1. Who we are
This policy explains how Scalency ("we", "us") collects and uses personal information when you visit our website, fill in one of our forms (including forms on Facebook and Instagram), book a call or work with us.
Scalency is the trading name of Scalency LTD, a company registered in England and Wales under company number 16598785, with its registered office at 128 City Road, London, EC1V 2NX, United Kingdom. We are the data controller for your personal information.
If you have any questions about this policy or your information, email us at tolu@scalency.co.uk.
2. What we collect
Information you give us, for example when you fill in a form, book a call, email us or speak to us:
- your name, email address and phone number
- your business name, type of business, location and number of sites or staff
- details about your business, such as roughly how many enquiries you get, how they're handled and your approximate monthly turnover
- anything else you choose to tell us, and notes from our calls with you
Information collected automatically when you visit our website: technical details such as your IP address, browser type and the pages you view. Our hosting provider collects these to keep the site running and secure.
Information from third parties: if you fill in one of our forms on Facebook or Instagram, Meta passes the details you entered to us.

We don't sell your personal information, and we don't use it to make decisions about you by automated means alone.
4. Call recording
We may record calls with you, so that we have an accurate record of what was discussed and can train our team. We'll tell you at the start of the call if it's being recorded, and you can ask us not to.
5. Cookies
Our website doesn't currently use analytics or advertising cookies. It loads fonts from Google Fonts, which means your browser connects to Google's servers and shares your IP address with Google. If we add analytics or advertising cookies in future, we'll ask for your consent first and update this policy.
6. Who we share it with
We share your information only with trusted service providers who help us run our business, and only as much as they need:

- our database and software providers (such as Supabase)
- HighLevel (GoHighLevel), which we use for our calendar, bookings, email and text messages
- our professional advisers, such as accountants and solicitors
- partners who help deliver our services, such as our media buying partner, under written agreements
We may also share information if the law requires it, or to protect our rights.
7. International transfers
Some of our providers store or process information outside the UK, including in the United States. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK-US Data Bridge.
8. How long we keep it
- If you enquire but don't become a client, we keep your details for up to 24 months after our last contact, then delete them.
- If you become a client, we keep your details for as long as we work together, and then for up to six years for legal and accounting reasons.
- Call recordings are kept for up to 12 months.
9. Your rights
Under UK data protection law, you have the right to:

10. Keeping your information safe
We use appropriate technical and organisational measures to protect your information, including access controls and encrypted connections, and we only give access to people who need it.
11. Complaints
If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
